Workplace Policy (Contractor Engagement)

VDC.cloud is a professional cloud consultancy small business that engages independent contractors on a project-by-project basis. This Workplace Policy outlines our expectations, work standards, and professional practices for all contractors working with VDC.cloud.
1. Purpose
This policy aims to promote a productive, respectful, and secure working environment for all contractors contributing to VDC.cloud’s service offerings across Multi-Cloud Network, Security, Zero Trust, and AI consulting.
2. Scope
This policy applies to all independent contractors, consultants, and freelancers engaged by VDC.cloud, regardless of location or duration of the engagement.
3. Engagement Terms
- All contractor roles are clearly defined and agreed upon in advance via a project agreement or Statement of Work (SOW).
- Contractors are not employees of VDC.cloud and are responsible for their own taxes, insurance, and legal obligations.
- Engagements are non-exclusive and typically fixed term based on project scope and deliverables.
4. Code of Conduct
Contractors are expected to:
- Perform their work with integrity, professionalism, and a commitment to excellence.
- Respect confidentiality and comply with data protection standards.
- Avoid conflicts of interest and disclose any potential conflicts prior to starting work.
- Refrain from any form of discrimination, harassment, or unethical behaviour.
5. Communication and Reporting
- Contractors must maintain regular communication with the designated project manager.
- Weekly progress updates and milestone reporting are expected unless otherwise specified.
- Communication channels include Microsoft Teams, Google Workspace, secure email, and other approved platforms.
6. Information Security and Compliance
- Contractors must comply with VDC.cloud’s Cybersecurity Policy and any applicable client security protocols.
- Company and client data must be stored securely and only accessed for authorised purposes.
- Use of personal devices for work must adhere to security guidelines including MFA and encryption.
7. Intellectual Property
Any work product, documentation, or deliverables created during the engagement are the intellectual property of VDC.cloud or the client, as defined by the respective contract.
8. Availability and Working Hours
- Contractors are expected to be available during agreed project hours but retain flexibility over their working schedule unless client-facing or critical support hours apply.
- All agreed deliverables and deadlines must be met.
9. Feedback and Evaluation
- Contractor performance is reviewed at the close of each engagement.
- Feedback may be provided both informally and via a formal review process.
- Exceptional contributors may be invited for future projects or long-term collaboration.
10. Termination
- Either party may terminate the engagement with notice as defined in the contract.
- VDC.cloud reserves the right to end any engagement immediately in cases of misconduct, data breach, or non-performance.
11. Updates to This Policy
This policy is reviewed annually and may be updated to reflect changes in law, company operations, or industry best practices. All contractors will be notified of significant updates.
