Punctuality and Attendance Policy

This policy outlines expectations for punctuality and attendance for all cloud consultants engaged by VDC.cloud on active project assignments. Maintaining professionalism in communication and time commitments is vital to the success of our client engagements and team collaboration.
1. Purpose
To ensure that consultants represent VDC.cloud professionally by maintaining agreed working schedules, communicating availability clearly, and being present during client-facing or collaborative activities.
2. Scope
This policy applies to all independent consultants and contractors working on VDC.cloud-led or client-directed projects, whether remotely or on-site.
3. Punctuality Expectations
- Consultants must be punctual for all scheduled meetings, workshops, and calls—both internal and client-facing.
- All time commitments outlined in the Statement of Work (SOW) or communicated by the project manager must be respected.
- Persistent lateness may be seen as a breach of professional conduct.
4. Availability and Attendance
- Consultants must be available during the agreed project days, hours, or time zones stated in the SOW or project kick-off documentation.
- Attendance at key project milestones, sprint reviews, stakeholder sessions, and status updates is mandatory unless pre-approved otherwise.
- Any anticipated absence should be communicated to the VDC.cloud project manager as early as possible (minimum 24 hours’ notice when possible).
5. Unplanned Absences
- In the event of illness or emergencies, the consultant must notify their VDC.cloud project manager or client contact as soon as reasonably possible.
- Unexplained or recurring absences may impact current and future assignments with VDC.cloud.
6. Performance Impact
Failure to meet attendance or punctuality expectations may lead to:
- Written warnings from the VDC.cloud coordination team
- Reduced access to future project opportunities
- Early termination of the current engagement for consistent non-compliance
7. Communication Channels
- Official attendance and availability updates must be shared via approved project communication tools (e.g., Microsoft Teams, Google Workspace, project email, or scheduling platforms).
- Consultants are expected to keep calendars up-to-date and reflect availability accurately.
8. Policy Review and Updates
This policy is reviewed annually and may be updated based on feedback, operational changes, or project requirements.
