Billing Policy

This Billing Policy outlines how fees are calculated, invoiced, and paid for all services offered by VDC.cloud, including project-based consultancy, SaaS subscriptions, and technical support services.
1. General Overview
VDC.cloud provides tailored cloud consultancy and managed services on a per-project basis. We offer flexible billing aligned with project scopes, duration, and support needs, with transparent and upfront pricing for all clients.
2. Consultancy Billing
- All consultancy engagements are governed by a Statement of Work (SOW) or formal service agreement.
- Billing is based on a per-day rate, clearly outlined in the SOW.
- Day rates may vary depending on:
- Type of consultant (e.g., cloud architect, security architect, network engineer, security engineer, cloud developer, AI architect, AI engineer)
- Consultant's skillset and active industry certifications
- Project complexity and duration
- Onsite vs. remote requirements
- Clients will be billed at the end of each month or milestone, as defined in the SOW.
3. SaaS Subscription Billing
- VDC.cloud offers subscription-based software services such as Microsoft 365, data backup, security monitoring tools, and AI agents.
- All SaaS subscriptions are billed at the current advertised pricing from the respective vendors (e.g., Microsoft).
- Subscription costs may be passed through at cost or with a marginal administrative fee, as disclosed in the agreement.
4. Value-Add Technical Support Services
In addition to licensing, clients can subscribe to value-added technical support services provided directly by VDC.cloud and described depending on the service offering.
5. Invoicing and Payment Terms
- Invoices are issued monthly or per milestone for project work.
- SaaS and support subscriptions are billed monthly in advance.
- All invoices are payable within 14 days of issue unless agreed otherwise.
- Late payments may be subject to interest and/or temporary service suspension.
6. Amendments and Adjustments
- Changes in scope, pricing, or subscription volume will be documented and reflected in updated SOWs or subscription agreements.
- Clients will be notified of any pricing changes at least 30 days in advance.
7. Termination and Refunds
- Project engagements may be terminated as per the terms in the SOW.
- Monthly SaaS subscriptions and support services can be cancelled with 30 day's notice.
- Refunds are not issued for partially used service periods unless otherwise stated in the contract.
