Confidentiality Policy

VDC.cloud is committed to maintaining the confidentiality and integrity of all proprietary, client, and project-related information. This Confidentiality Policy establishes the obligations of all individuals engaged with VDC.cloud to protect sensitive information accessed during cloud consultancy engagements.
1. Purpose
To ensure that all consultants, contractors, and staff understand their responsibilities to preserve confidentiality and protect data entrusted to them by VDC.cloud and its clients.
2. Scope
This policy applies to:
- All consultants, contractors, and employees of VDC.cloud
- All information shared verbally, electronically, or in written form during client or internal engagements
3. Definition of Confidential Information
Confidential information includes but is not limited to:
- Client names, projects, and deliverables
- Intellectual property (IP), software code, and architectures
- Business strategies, financials, and internal communications
- Login credentials, access keys, and system configurations
- Personally Identifiable Information (PII) or other regulated data
4. Obligations
Individuals engaged with VDC.cloud must:
- Sign a Confidentiality or Non-Disclosure Agreement (NDA) before accessing any sensitive information
- Only use confidential information for authorised work-related purposes
- Store data securely, using encrypted platforms where applicable
- Avoid sharing confidential information through unsecured or unauthorised channels
- Refrain from discussing confidential matters in public spaces or with unauthorised individuals
5. Prohibited Actions
The following actions are strictly prohibited:
- Copying, disclosing, or using confidential information for personal or external gain
- Sharing client or internal documents on social media or in public forums
- Retaining confidential materials after the termination of a project or contract
6. Duration of Obligation
Confidentiality obligations continue indefinitely, even after the end of an individual’s engagement with VDC.cloud unless explicitly released in writing.
7. Breach of Confidentiality
Any suspected or confirmed breach must be submitted as a policy
enquiry:
VDC.cloud will investigate all breaches and may take disciplinary or legal action, including termination of contract and potential civil liability.
8. Exceptions
Information is not considered confidential if it:
- Information that becomes public through no fault of the individual
- Information lawfully disclosed by a third party not bound by confidentiality
- Information required to be disclosed by law, regulation, or court order (with prior notification to VDC.cloud where possible)
